Abstract(s)
Na conjuntura empresarial atual, a informação é considerada como uma variável determinante para a
competitividade das organizações. Num ambiente inundado de informações provenientes de várias
fontes, torna-se pertinente a sua organização, para que o processo de refinamento de informação seja
facilitado. É imperativo para as organizações o acesso fiável e rápido à informação.
O Departamento de Informática da Escola Superior de Tecnologia e Gestão de Viseu tem um conjunto
de processos que utilizam, envolvem e geram informação e documentos. Para que este volume de
informação não se torne num labirinto difícil de decifrar, caso não seja devidamente organizada, propõe-
se um estudo sobre os vários processos existentes, de forma a compreendê-los, definindo os intervenientes
e documentos necessários à sua realização e porventura redefini-los, caso seja considerado
relevante. No final do levantamento dos processos, os seus intervenientes, recursos humanos e/ou
recursos tecnológicos, propõe-se uma solução de gestão documental com suporte de workflow. No
mercado existem várias soluções, por conseguinte far-se-á uma análise crítica, encontrando o mais
adequado para a situação em estudo.
O objetivo deste trabalho consiste assim, em propor uma solução de gestão documental com suporte
de workflow, de forma a poder contribuir para a otimização da utilização dos recursos humanos e tecnológicos
existentes na entidade em causa. Na vertente de gestão documental, com a uniformização
dos documentos e sua localização, os colaboradores a qualquer momento sabem onde se encontram os
documentos, podendo visualizá‐los no seu computador. Na extensão de workflow, perante um processo
administrativo resultante de um pedido, é possível determinar, em qualquer momento, qual o seu
estado e os intervenientes pelos quais já passou o processo e suas contribuições. ABSTRACT:
In business today, information is considered a key variable in the competitiveness of organizations. In
an environment flooded with information provided by several sources, its organization becomes relevant
so that the so that the process of refinement of information can be facilitated. One of the key requirements
of organizations is the access to reliable information quickly.
In the present, the Department of Informatics of the Higher School of Technology and Management of
Viseu has a set of processes that use, involve and generate information and documents. If this information
is not properly organized, this volume of information may become a labyrinth difficult to decipher,
a comprehensive study regarding the existing processes is carried out. This way, they can be
understood by defining the participants and documents required for their implementation. During this
study, some of these processes may be redefined, if considered relevant. At the end of the study of the
processes involving participants, human and/or technological resources, a document management solution
with support of workflow is presented. Nevertheless several solutions are available in the market,
one must find the adequate solution for the case study.
The objective of this work consists in proposing a document management solution with support of
workflow in order to be able to contribute to the optimization of the use of human and technological
resources existing in the organization in study. In the area of document management, with the standardization
of documents and their location, employees at any time know where the documents are, and
can view them on their computer. In the workflow extension, before an administrative process that
results from a request, it is possible to determine, at any time, its status and the people by which it has
already passed and their contributions.
